How hackathon teams form

Everything happens on your event page, for people who registered.

    An attendee creates a team

    Anyone with a confirmed registration names a team and becomes its captain. The team gets a 6-character code.

    Teammates join with the code

    The captain shares the code. A teammate enters it on the event page, sees the team name and who is on it, and joins.

  3. 03

    Solo hackers find a team

    An attendee without a team can list themselves as looking for a team, with a short note about their skills. Other attendees see the list and message them.

    You lock teams when building starts

    One switch stops attendees creating, joining, leaving or renaming teams. You can still move people after that.

What organizers can do

The Teams manager shows every team on your event and everyone who is not on one yet.

See every team

Each team, its captain, its members and how full it is, next to the attendees who have not joined one.

Place and move people

Add an attendee to a team, move them to another, or take them off. Make someone captain.

Set the team size

Teams hold 4 people unless you choose 2, 3, 4, 5, 6, 8 or 10. Lowering it never removes anyone.

Create teams yourself

Set up an empty team and fill it, rename a team, or delete one. Its members go back to having no team.

Lock teams

Freeze teams when building starts. Attendees see that teams are locked, and you keep full control.

Replace a code

Give a team a new code if the old one got around. The old code stops working.

Teams in your guest list

Each person’s team shows on your guest list, and the CSV export gets a Team column.

Captains hear about joins

A team’s captain gets an email when someone joins, by code or placed by you.

The rest of your hackathon, on the same event

Teams sits on an ordinary Eventship event, so the tools you would use for any event are already there.

What Teams costs

$50

per event, one-time

  • $50 per event, paid once. There is no subscription.
  • Turn it on from Manage event, under Teams, or when you publish a new event. Payment is on the web.
  • Once Teams is on, it stays on for that event. The payment is not refunded.

Hackathon questions

How do I organize a hackathon on Eventship?

Create the event, set up tickets and registration questions, and publish it. Turn on Teams from Manage event, or when you publish, for $50. Registered attendees then form teams on the event page, and you manage every team from the Teams manager.

How do attendees form a hackathon team?

One person creates the team and becomes its captain. The team gets a 6-character code, and teammates join by entering it on the event page. There are no invite links.

How do people without a team find one?

They switch on "Looking for a team" and add a short note. Every registered attendee can see who is looking and message them, so solo attendees can also form teams with each other.

How big can a team be?

Four people by default. You can choose 2, 3, 4, 5, 6, 8 or 10. If you lower it below a team’s current size, nobody is removed, and new joins are checked against the new size.

Do attendees need an account to join a team?

Yes. To create or join a team, a person signs in to Eventship and has a confirmed registration for the event. Someone waiting on approval can join once you approve them. You can place any confirmed attendee on a team yourself.

Can I stop teams changing once building starts?

Yes. Lock teams with the switch in the Teams manager. Attendees can no longer create, join, leave or rename teams, and you can still make changes.

Does Eventship handle project submissions and judging?

Not yet. Judging is coming in fall 2026. Today, Teams covers forming and managing teams, and Eventship does not collect project submissions, so keep using your current tool for those.

What does Teams cost?

$50 per event, paid once. Once Teams is on, it stays on for that event, and the payment is not refunded.

Running a workshop instead?

The same feature works as breakout groups: you place people, or they join a group with a code.
